Grade Captain Step by Step Guide for WTB

Class Parents provide for 5 School Wide events during the year:

  • Halloween Party (5th/6th) and Halloween Snacks (7th/8th)
  • Holiday Lunch
  • Valentine’s Day Sundaes
  • End of Year Party

September

Class Parent Meeting

  • Grade Captain should be sure to have the email address and phone number for each Class Parent (CP). Copies of this information should be made and distributed to all CPs and 1st VP before everyone leaves for the night (if possible).
  • Each CP should volunteer to assist at one of the following: Halloween, Holiday, Valentine’s Day and End of Year (or more, if possible) and indicate if you are available to attend the event or can help by purchasing/providing supplies.  A copy of the list should be kept by the Grade Captains and provided to the PTA Board.  All CP’s are expected to plan or attend one event.

October

  • 1st VP will confer with the administration about plans and time for the events and contact the Grade Captains.  Grade Captains organize the event and arrange for enough CPs to be present at event (if needed).
  • One Captain should submit all receipts for purchased items and a Check Request form (available online) to the PTA Treasurer after all supplies are purchased.  He/She will be reimbursed from party monies collected at the beginning of the year.
  • CPs may be asked for snack and/or drink donations.

December

  • 1st VP will confer with the administration about plans and time for the events and contact the Grade Captains.  Grade Captains organize the event and arrange for enough CPs to be present at event (if needed).
  • One Captain should submit all receipts for purchased items and a Check Request form (available online) to the PTA Treasurer.
  • CPs may be asked for snack and/or drink donations.

February

  • 1st VP will confer with the administration about plans and time for the events and contact the Grade Captains.  Grade Captains organize the event and arrange for enough CPs to be present at event (if needed).
  • One Captain should submit all receipts for purchased items and a Check Request form (available online) to the PTA Treasurer.

June

  • PTA provides pizza for all students on the last day; 1st VP will get student count and details from administration and order the pizza.
  • Grade Captains will arrange to have CPs available to accept delivery and distribute/serve pizza.
  • CPs may be asked to provide water/drinks.
  • If there is any class party money remaining, other snacks may be purchased for this event.
  • One Captain should submit all receipts for purchased items (NOT the pizza) and a Check Request form (available online) to the PTA Treasurer.

Field Trip

Teacher/administrator will notify the 1st VP or Grade Captain of the date of the Field Trip and the number of Chaperones needed.  Grade Captain will then contact the CPs in the order they were drawn to see who is available to go.   In the event that there is a 2nd class trip, Captain will repeat this process starting at the top of the list.

Please note that due to medical and other issues, a Teacher may wish other parents to attend a Field Trip, thus reducing the number of CPs needed as chaperones.  Please respect and abide by the Teacher’s decision.

Class Gifts

Given the fact that students have a variety of teachers at WTB and that not all teachers have a homeroom, the PTA does not promote a Teacher Gift Collection at WTB. Rather, the PTA sponsors a Teacher Appreciation Day at each school to recognize the hard work and dedication that our teachers provide to our children each year.
